Mobile App Privacy Policy

This policy covers the Sam.ai mobile application. The Sam.ai platform itself is covered separately by the Sam.ai Privacy Policy.

In short. The application shows you your existing Sam.ai account on a phone. It sends the same CRM information to the same servers as the website does, over an encrypted connection. It contains no advertising, analytics or tracking. It uses your microphone in two situations, both of which you start yourself — a call you chose to place through the Sam dialler, which is recorded and logged (section 9), and dictating a note when you press “Speak”, which makes no recording at all (section 10). It does not touch your phone’s contacts, camera, photographs, location, calendar or files.

1Who this is for

This policy covers the Sam.ai mobile application for Android. It is written for the people who use it: sales and account teams at organisations that already hold a Sam.ai account.

The Sam.ai platform itself — the servers, the web application and the data held in them — is covered by the Sam.ai Privacy Policy. The browser extension is covered by its own policy. This page describes only what the mobile application does on your phone.

2What the app does

The application gives you the Sam.ai CRM on a phone. It has five areas:

  • My Day — the tasks, appointments, call reminders, email replies and notifications due today.
  • Records — leads, deals, clients, partners, contacts and companies.
  • Campaigns — sending and reply figures for your outreach.
  • Pipeline — open deals by stage.
  • Inbox — replies matched to the record they belong to, if you connect a mailbox.

It does not create accounts. You sign in with credentials your organisation already issued you.

3What the app sends to Sam.ai

The application is a window onto your existing Sam.ai account. It sends and receives the customer relationship data you work with:

  • Contact and company records — names, job titles, email addresses, telephone numbers and postal addresses.
  • Deals, leads, clients and partners, including values, stages and expected close dates.
  • Notes, calls, meetings, tasks and other activity you record.
  • The email address you sign in with.
  • Recordings of calls you place with the Sam dialler, and any transcript made from them — see section 9.

All of this travels over an encrypted HTTPS connection to Sam.ai servers. It is the same information, handled the same way, as when you use Sam.ai in a web browser. The application introduces no new category of information.

4What the app does not access

The application does not read, collect or transmit:

  • The contacts stored on your phone.
  • Your photographs or camera.
  • Your location.
  • Your calendar or files.
  • Anything about other applications on your device.

It cannot: the application does not hold the Android permissions that would allow any of it. See section 7.

The microphone is the exception, and only when you have just asked for it. There are two such moments, both started by you and neither running in the background:

  • A call placed with the Sam dialler — described in section 9.
  • Dictating a note — when you press “Speak” while writing a note, described in section 10.

5Signing in, and what is kept on your device

You sign in with your Sam.ai email address and password. Your password is sent to Sam.ai to verify it and is not stored on the device.

On success the application receives an access token and stores it on your device so that you stay signed in between sessions, along with your name, your organisation and your appearance preference. This storage is private to the application: Android prevents other applications from reading it.

Signing out removes the token. Uninstalling the application removes everything it has stored on the device.

6Mailbox access

The Inbox is optional and is switched off until you connect a mailbox. Connecting one is done in Sam.ai on a desktop computer, not in the application.

If you connect a Google or Microsoft mailbox, messages are read directly from that provider at the moment you view them, so that a reply can be shown beside the record it relates to. Sam.ai does not copy the contents of your mailbox into its own storage. Use of Google account data is additionally governed by the Google API Services section of the Sam.ai Privacy Policy.

7Permissions, in plain terms

That is the complete list — three permissions, of which two are used only in the two moments described above, each one started by you. The application requests no access to your phone’s contacts, camera, photographs, location, calendar or files.

8Advertising, analytics and tracking

The application contains no advertising, no analytics software and no third-party tracking technologies. It builds no profile of you, and no information about your use of it is shared with any third party for advertising or measurement.

No advertising identifier is read. No software development kit belonging to an advertising network, analytics provider or social network is included in the application.

9Telephone calls

When you tap to call someone, the application asks you which way you want to call. The two behave very differently, and the choice is yours every time.

Call from this phone The number is handed to your phone’s own dialler and the call is placed over your mobile network in the ordinary way. Sam.ai is not part of the call. The microphone is not used by this application, nothing is recorded by Sam.ai, and the call is not logged unless you record it yourself afterwards. The person you call sees your own number.
Call with the Sam dialler The call is placed over the internet through Sam.ai’s telephony provider, from your organisation’s verified business number rather than your own. This uses your microphone, and Android will ask your permission the first time. The call is recorded and logged against the contact in your organisation’s Sam.ai account, where your colleagues and administrators can hear it. A written transcript may be produced from the recording afterwards.

For a call, the microphone is used only for the duration of a call you placed with the Sam dialler. It is never accessed in the background, and never when you have chosen to call from your own phone. The other occasion it is used at all is dictation, in section 10.

Recording and the law. Call recording is a feature of your organisation’s Sam.ai account, switched on and configured by your administrator, not by this application. Whether the other party must be told a call is being recorded depends on where you and they are. Responsibility for obtaining any consent the law requires rests with your organisation and with you as the caller, not with the application.

If the Sam dialler is not available — because your organisation has not set it up, has no verified caller ID, or has no calling minutes remaining — the option is shown greyed out with the reason, and only the first choice works.

10Dictating notes

When you write a note, a task or a call summary, you may press Speak instead of typing. The application then listens and turns what you say into text in the box, which you can edit before saving. It is entirely optional — the box is an ordinary text field and typing works exactly as before.

Who does the listening. The application does not perform speech recognition itself and does not send your voice to Sam.ai. It hands the microphone to the speech recognition service built into your phone — on most Android devices this is supplied by Google — and receives the text back. Depending on your device and its settings, that service may process the audio on the phone itself or send it to its own provider. That processing is governed by your device manufacturer’s privacy policy, not by this one, in the same way as the dictation button on your keyboard.

What Sam.ai receives. Only the finished text, and only once you save the note — the same as if you had typed it. No audio recording is made, stored or uploaded by this application, and nothing is kept on your device after the words appear on screen.

The microphone is released as soon as you press Stop, leave the note, or stop speaking. If your phone has no speech recognition service, the Speak button is shown greyed out and typing is the only option.

11Retention and deletion

Information you record through the application is held in your organisation’s Sam.ai account and is retained as described in the Sam.ai Privacy Policy. Your organisation’s administrator controls it.

To ask for data to be deleted, or to ask what Sam.ai holds about you, contact your organisation’s Sam.ai administrator or write to the address in section 13.

12Children

Sam.ai is a business tool sold to organisations. It is not directed at children and is not intended for anyone under 16.
